旅行業者の使い方
SF大会での旅行会社の使い方には２種類あります。
申し込みから参加者の管理まで任せるタイプと、交通宿泊斡旋のみのタイプです。
一般的に、リゾート大会では前者を都市型大会では後者をとることが多いようです。
それぞれに利点と欠点があります。
■お任せ
利点…事務作業が減る。交通宿泊等と一括できる。
入金管理（郵便振替・クレジット決裁など）の手間が減る。
欠点…経費がかかる。実行委員会での参加者把握にタイムラグがある。
■交通宿泊のみ
利点…経費が減る。実行委員会に情報を集約できる。
欠点…DB構築・インプット作業etc.の事務作業が発生する。
入金管理が面倒。交通宿泊との連携が面倒。
どちらが良いとは一概に言えませんが、どちらの方法においても重要なことは、参加者情報を一括管理することです。
私が昔経験した大会では、これができずに旅行会社と実行委員会の両方で参加を受け付けたために事務手続きの大きなミスが何度も発生したことがありました。
二箇所で名簿を持っており、それが微妙に食い違っていたために入金と発送物のリンクができずにいろいろなトラブルを起こしました。
2003年2006年は、旅行社に完全に任せています。
2005年2007年は、交通宿泊の斡旋のみです。
旅行社にまかせるのならば、中途半端なことはせずに徹底的にまかせましょう。
